How I Got Back 10 Hours a Week Without Hiring Anyone

It started with late nights. Fixing contact records. Rewriting follow-ups. Building proposals from scratch. Nothing hard—just never-ending.

I looked up one day and realized I wasn't doing high-value work. I was doing admin. Stuff I could've paid someone $15/hour to handle—if I had the budget.

But I didn't. So I built something instead.

The real cost wasn't money—it was time

I was burning 8-10 hours a week on things that didn't move the needle. Tasks like:

  • Following up manually with leads and partners
  • Checking contact data for errors or missing fields
  • Copy/pasting RFP content into old proposals
  • Writing intro emails from scratch over and over
  • Digging through old notes to remember what happened last time

Each thing on its own wasn't that bad. But stacked? It ate my week.

I didn't need a VA. I needed a system.

Hiring help would've been great, but I wanted something smarter. Something that could:

  • Work 24/7
  • Learn from what I've already done
  • Stay consistent—even when I'm tired or distracted
  • Scale up without scaling cost

That's why I built TODD.

Here's what TODD does now

  • Drafts follow-up emails based on previous conversations and tone
  • Validates and enriches contact info automatically
  • Suggests next actions and nudges me when something's falling through
  • Turns raw RFPs into ready-to-send proposals using past material
  • Helps me prioritize who to talk to—and when

That's 10 hours of repetitive, error-prone work—gone.

What I do with that time now

I spend more time on strategy. I show up to meetings prepared. I write better messaging. I move faster. I'm not behind. I'm focused.

And my clients notice.

FAQ: Can't I just hire someone?

You can. And that might be the right move for some people.

But if you're running lean, trying to grow without overhead, or tired of onboarding people only to redo the work yourself—TODD might be a better fit.

It doesn't just help you manage the work. It does the work.

Final thought

You don't need to work harder. You don't need more tools. You need time.

TODD gave it back to me. Without hiring anyone.
